As in local trade, in the case of international trade, whether it is an import or export, a telephonic order and oral acceptance of terms of the contract are not acceptable. There are a number of documents to be prepared and/or obtained from third parties in the course of an import or export, right from the time an inquiry for a product is made, till final payment is made.
Major Categories
The two major categories in which the documents can be divided are:
- Commercial
- Regulatory
They are further classified into documents related to goods, documents related to the shipment, documents related to payment, documents related to inspection, documents related to excisable goods, and documents related to foreign exchange regulations.
All these documents have to be prepared and delivered to appropriate parties within the stipulated timeframe, to complete the formalities of international trade, or the simplest shipment can be stalled indefinitely, leading to enormous losses to all the parties involved.
